AI Terms & Responsible AI Policy

MediaMagic™ Verify / iClear is an AI-powered compliance checking platform designed to help organisations identify potential regulatory and advertising compliance risks before content is published.

1. Introduction

This AI Terms & Responsible AI Policy explains:

  • how artificial intelligence (AI) is used within MediaMagic™ Verify / iClear;
  • the principles that guide our responsible use of AI;
  • the responsibilities of users when using AI-assisted functionality; and
  • how this policy interacts with our other legal documents.

This policy should be read alongside our:

  • SaaS Terms & Conditions;
  • Privacy & Cookie Policy;
  • Data Processing Addendum (where applicable); and
  • any Subscription Terms.

2. Scope

  • This policy applies to all customers, authorised users and anyone accessing AI-powered functionality within MediaMagic™ Verify / iClear.

  • It applies to all AI-assisted analysis performed through the platform.

3. How MediaMagic™ Verify / iClear Uses AI

MediaMagic™ Verify / iClear uses artificial intelligence to analyse customer-submitted marketing content against selected regulatory and compliance frameworks.

The platform is designed to support compliance teams, legal teams, marketers and reviewers by identifying potential issues before publication.

The typical workflow is:

  • 1. Upload – Users upload marketing assets such as videos, images, PDFs or other supported content and may provide additional contextual information.

  • 2. Select – Users select one or more compliance "Sidekicks" (for example, a CAP Code compliance checker) to analyse the content.

  • 3. Analyse – AI analyses the submitted content against the selected regulatory framework and identifies potential compliance risks.

  • 4. Review – The platform presents findings, including:

    • • identified issues;
    • • risk indicators;
    • • rule references;
    • • visual anchors where appropriate;
    • • AI-generated explanations; and
    • • suggested resolution guidance.

  • 5. Act – Users may annotate findings, add manual notes, request further analysis, version assets or share results with authorised stakeholders.

  • 6. Repeat – Users may repeat the compliance review process until they are satisfied with the outcome.

  • 7. Export – Users may generate reports for audit and record-keeping purposes.

MediaMagic™ Verify / iClear analyses customer-submitted content. It does not create marketing content, rewrite copy or generate alternative creative assets.

4. Our Responsible AI Principles

MediaMagic™ Verify / iClear has been designed around the following principles.

Human Oversight

AI-generated outputs are intended to support human decision-making.

Users remain responsible for reviewing AI outputs and making final publishing and compliance decisions.

Transparency

Where possible, MediaMagic™ Verify / iClear explains why issues have been identified, including references to relevant regulatory rules and guidance.

Explainability

Rather than simply flagging potential issues, MediaMagic™ Verify / iClear provides contextual explanations and suggested actions to help users understand the reasoning behind each finding.

Accountability

The platform supports compliance workflows but does not replace professional judgement, legal advice or regulatory review.

Customers remain responsible for ensuring that their published content complies with all applicable laws, regulations and industry standards.

Privacy and Security

MediaMagic™ Verify / iClear processes customer content in accordance with our Privacy & Cookie Policy, Data Processing Addendum and applicable data protection legislation.

Appropriate technical and organisational measures are implemented to protect customer information.

Continuous Improvement

We continually review and improve MediaMagic™ Verify / iClear to enhance its performance, reliability and usefulness.

Customer feedback is reviewed by our product and data science teams to help improve future versions of the platform.

5. AI Outputs and Limitations

AI-generated outputs are intended to assist users by highlighting potential compliance risks.

Although we aim to provide accurate and useful analysis:

  • AI may not identify every potential compliance issue;
  • AI may occasionally generate false positives;
  • results depend on the content and contextual information submitted;
  • changes to regulatory frameworks or Sidekick versions may affect future results.

AI-generated outputs:

  • are not legal advice;
  • do not guarantee regulatory compliance; and
  • should not be relied upon as the sole basis for publication decisions.

6. Customer Responsibilities

Customers and authorised users are responsible for:

  • ensuring they have the necessary rights to upload content;
  • providing accurate and relevant contextual information where appropriate;
  • reviewing AI-generated findings before making decisions;
  • obtaining professional advice where required;
  • ensuring compliance with applicable laws and regulations;
  • maintaining appropriate internal governance and approval processes.

7. Sidekicks and Version Transparency

  • MediaMagic™ Verify / iClear provides compliance analysis using specialist AI models referred to as Sidekicks.

  • Each analysis identifies the Sidekick version used.

  • As regulatory requirements evolve, updated Sidekick versions may produce different analysis results.

  • Version information is retained to support transparency, auditability and reproducibility.

8. Feedback and Continuous Improvement

  • Users may provide feedback on AI-generated findings, including issue accuracy and relevance.

  • Feedback is reviewed by Northell's product and data science teams as part of our quality improvement process.

  • Customer feedback is not automatically incorporated into AI models and does not directly retrain publicly available AI models.

9. Data Handling

  • Customer content submitted to MediaMagic™ Verify / iClear is processed solely for the purpose of providing compliance analysis and related platform services.

  • We do not share customer content with publicly available AI services for model training purposes.

  • Personal data is processed in accordance with our Privacy & Cookie Policy and, where applicable, our Data Processing Addendum.

10. Prohibited Uses

Customers must not use MediaMagic™ Verify / iClear to:

  • upload unlawful, defamatory or malicious content;
  • infringe the intellectual property rights of others;
  • attempt to interfere with or circumvent platform security measures;
  • misuse AI outputs or intentionally misrepresent compliance findings;
  • use the platform in breach of applicable laws or regulations.

11. Changes to This Policy

  • We may update this AI Terms & Responsible AI Policy from time to time to reflect changes in technology, legal requirements or the MediaMagic™ Verify / iClear platform.

  • The latest version will always be made available through the MediaMagic™ Verify / iClear website or platform.

12. Policy Review

This policy shall be reviewed:

  • annually;
  • following significant changes to the MediaMagic™ Verify / iClear platform or AI functionality;
  • following significant changes to applicable laws, regulations or recognised AI governance standards;
  • following major information security, privacy or AI-related incidents;
  • where material changes are made to the AI models, Sidekicks or regulatory frameworks used by MediaMagic™ Verify / iClear.
